This Privacy Policy explains how ViewSignage LLC (“ViewSignage,” “we,” “us,” or “our”) collects, uses, shares, and protects information when you use our Distribution Service Module (the “Module”), including any related websites, web forms, dashboards, APIs, integrations, and communications (collectively, the “Services”).

By using the Services, you agree to the practices described in this Privacy Policy.

1) Scope and Roles (Customer Data)

The Module may be used by businesses and organizations (“Customers”) to manage distribution workflows (for example: dispatching, routing, delivery confirmation, and reporting).

When a Customer uses the Module, the Customer generally controls the data entered into the Module and determines how it is used.

ViewSignage generally acts as a service provider processing information to provide and support the Services.

If you are an end recipient (such as a delivery recipient receiving a status message), your relationship may be with the Customer, and the Customer’s policies may also apply.

2) Information We Collect
A. Information You Provide

Depending on how the Module is configured, we may collect:

Identity & contact information: name, phone number, email address, company name

Distribution and delivery details: run IDs, order/work numbers, stop details, pickup and drop-off addresses, location notes, delivery instructions, and timestamps

Operational status information: dispatch status, en route/delivered status, and updates entered by authorized users

Driver/vehicle identifiers (if used): driver name/ID, vehicle number/identifier, route assignments

Proof of Delivery (“POD”): signed invoices, signatures, delivery confirmations, photos (if enabled), and associated metadata (such as time/date, stop ID, and user who captured POD)

B. Information Collected Automatically

When you access the Services, we may automatically collect:

Device and usage data: IP address, browser type, device identifiers, pages/screens viewed, actions taken, and timestamps

Log and audit data: system logs, error logs, and audit trails for security and troubleshooting

Cookies/local storage (if applicable): session management and user preferences

C. Information from Integrations (Including SMS Providers)

If the Services integrate with third parties (such as SMS delivery providers, email services, mapping, analytics, or webhooks), we may receive:

Integration configuration details (such as account identifiers and encrypted tokens where applicable)

Delivery metadata (such as message delivery status, errors, carrier feedback, and timestamps)

3) How We Use Information

We use information to:

Provide, operate, and maintain the Services (dispatch, routing support, workflow management, reporting, and delivery confirmation)

Record delivery outcomes, including Proof of Delivery such as signed invoices/signatures

Send transactional communications related to deliveries and workflow events (including SMS where enabled)

Authenticate users, control access, maintain audit trails, and secure the Services

Troubleshoot issues, monitor performance, and improve features

Comply with legal obligations and enforce our agreements and policies

We do not sell personal information.

4) Transactional SMS/Text Messaging (If Enabled)

If SMS features are enabled, the Services may send transactional messages only, such as:

Dispatch updates

Delivery status notifications

Service or workflow alerts tied to a delivery or distribution event

To deliver SMS messages:

We may share phone numbers and message content with our SMS service providers solely for message delivery and delivery reporting.

Message delivery is subject to carrier networks and may not be guaranteed.

Message and data rates may apply.

Consent: Where required by law, the Customer is responsible for obtaining any necessary consent from recipients before sending transactional text messages.

Opt-Out: Recipients can opt out by replying STOP (where supported). Reply HELP for help.

5) How We Share Information

We share information only as needed:

A. With the Customer and Authorized Users

If the Module is used by a Customer, information may be accessible to that Customer’s authorized users and administrators.

B. With Service Providers

We may share information with vendors who help us run the Services, such as:

Hosting, storage, and database providers

SMS/email delivery providers

Logging/monitoring providers

Customer support tools

They are permitted to use information only to provide services to ViewSignage and must protect it.

C. Legal, Safety, and Compliance

We may disclose information if necessary to:

Comply with laws, regulations, subpoenas, or lawful requests

Protect the rights, safety, and security of users, Customers, or the public

Investigate abuse, fraud, or security incidents

Enforce agreements and policies

D. Business Transfers

If ViewSignage is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction subject to reasonable safeguards.

6) Data Retention

We retain information as long as needed to provide the Services and for legitimate business purposes such as:

Maintaining audit logs

Supporting customer support and troubleshooting

Resolving disputes

Meeting legal and contractual obligations

Proof of Delivery (signed invoices/signatures) may be retained for longer periods as required by Customers for recordkeeping and compliance.

7) Security

We implement reasonable administrative, technical, and physical safeguards designed to protect information, including access controls and logging/monitoring. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8) Your Rights and Choices

Depending on your location, you may have rights to request access, correction, deletion, or a copy of your personal information.

If the Module is used by a Customer, requests may need to be handled through that Customer because they control the data. You can also contact ViewSignage using the details below.

9) Children’s Privacy

The Services are not intended for children under 13 (or the minimum age required by your jurisdiction). We do not knowingly collect personal information from children.

10) International Use

If you access the Services from outside the United States, your information may be processed and stored in jurisdictions with different data protection laws.
